TreadTrace by JFM MechLogix LLC

Put Technician Hours Into Repairs, Not Paperwork. Track Heavy Equipment Repair from the Field.

Technicians log milestones, parts, hours, and photos at the machine in short updates, so there's less to reconstruct after the repair. The office sees updates as they sync and turns the record into a customer-ready service report with a single click.

Built for small independent heavy-equipment repair shops of 1–20 technicians: workflows simple enough for a small crew, one shop price with five technician seats included and $20 per additional seat per month ($16.60 per month when billed annually), and no enterprise shop system to buy, configure, or staff.

Not for residential HVAC or plumbing shops, or fleets with more than 20 technicians. Founding Alpha is limited to approved Oregon shops with up to 5 active technicians.

Why TreadTrace?

Every hour a technician spends rebuilding the day from notes and memory is an hour not spent on equipment. TreadTrace keeps the record with the work.

  • Field technicians log job updates from their phones as the work happens — no paperwork, less end-of-day rewriting, and fewer phone calls back to the office.
  • Office dispatchers see job status across every active unit on one dashboard as field updates sync, with fewer calls to the field to ask where a job stands.
  • One-click PDF reports replace hand-written service sheets and retyped summaries.
  • Photos tied to Job IDs give you timestamped visual evidence of the work that was done.

Built for the Real Job Site

Workflows simple enough for a small crew, so technician hours can go into equipment instead of administration.

Keep Job Photos with the Repair Record

High-resolution images bound directly to Job IDs. Every photo is automatically tagged, timestamped, and searchable. Visual evidence of completed work stays with the job record.

Find Unit IDs, PO Numbers, and Service History

Track unit IDs, PO numbers, and service history without searching through texts and service sheets, in a system sized and priced for shops of 1–20 technicians rather than an enterprise shop platform.

See Field Updates from the Office

Data syncs between every field phone, shop tablet, and office desktop, so everyone sees the same job status once updates come through, with fewer status calls and less double entry.

Voice-to-Text Field Notes

Dictate job milestones, parts used, and hours while the work is fresh, so the write-up need not wait for the end of the shift. Mobile audio is processed for transcription and discarded; TreadTrace keeps the transcript, not the recording. Web dictation uses your browser's speech service.

AI-Assisted Report Drafts

Turn technician notes into a structured service-report draft instead of writing the report from scratch after hours. Review and correct the draft before sharing a customer-ready service report. The technician controls the final content.

How TreadTrace Works

  1. Dispatcher creates a job — enters the unit, PO number, and assigns a technician.
  2. Technician logs progress on mobile — adds milestones, photos, parts, and hours from the field in short updates while the details are fresh, so there is less end-of-day rewriting.
  3. Office generates the report — one click produces a clean PDF to review and send to the client, with less retyping.

Why I built TreadTrace

Jeremy Martin — Founder, JFM Mechlogix LLC; Creator of TreadTrace

Founder photo coming soon.

I built TreadTrace because finishing the repair did not mean finishing the day. After troubleshooting equipment, replacing parts, and getting machines moving again, I still had to reconstruct the work from notes, photos, messages, and memory. The shop needed a clear record. The customer needed to understand what was done. That paperwork became a second shift.

My background is in mechanical repair, production leadership, and OEM field service. Since 2019, I have supported heavy equipment in the Pacific Northwest, handling onsite repairs, technical support, service writing, quotations, and scheduling. TreadTrace comes from that work.

The idea is simple: capture short updates while the details are fresh, keep photos and parts with the job, and review the service record before sharing it. AI can help organize the notes, but it does not replace a technician's judgment. I want the people doing the repair to spend less time rebuilding the day after it is over.

The Founding Shop Program

TreadTrace is pre-release. Alpha is free for shops willing to test the product and share candid feedback. February 15, 2027 is a conditional beta graduation target, not an automatic transition. Every plan includes unlimited job logging, photo storage per job, multi-device sync, split-style reporting, PO & quote tracking, and shop branding.

Alpha — Free

  • No cost for the full alpha period.
  • Alpha shops actively test the product and provide feedback.
  • Graduation to beta requires explicit approval after the criteria are satisfied.
  • Continue on a paid founding beta plan, or discontinue service.
  • Alpha participants already receive extended free access, so a further free onboarding month is not included at beta.

Founding Beta — $99 per shop / month

Early access is currently open to eligible Oregon heavy equipment repair shops. Shops outside Oregon can join the expansion waitlist through the same form.

Pricing, Privacy, and Billing Questions

Where does my data go?

Mobile voice notes are sent to Microsoft Azure AI Speech for transcription. Temporary conversion files are deleted during the request; TreadTrace keeps the text, not an audio recording. Web dictation uses your browser's speech service and sends TreadTrace only text. Azure OpenAI processes field notes to draft reports; Microsoft does not use submitted data to train its models. Technicians review the final content. The privacy policy explains these processing paths.

Does TreadTrace integrate with QuickBooks or other accounting tools?

There is no direct QuickBooks or accounting sync today. TreadTrace produces customer-ready PDF service reports; keep your existing accounting and invoicing process. A service report is not an accounting integration.

Can technicians work offline?

The apps support cached records and queued field updates when the connection drops. Sign in and load the job while online first. Updates reach the office after you reconnect and sync; AI transcription and report drafting need a connection. Confirm your exact field workflow during alpha before relying on it at a remote job site.

Will technicians have to change how they document a repair?

Start with a job, then add short notes, photos, parts, and hours as the work happens. Voice input is optional. Review the service record before sharing it; alpha onboarding includes help setting up your shop and testing the workflow with your technicians.

What happens when alpha ends?

Planned beta graduation is February 15, 2027, subject to successful completion of the Founding Alpha graduation criteria. The transition is not automatic.

When does beta billing begin?

Billing begins only after an approved graduation to beta. Nothing is charged and no Stripe checkout is created during Founding Alpha.

Can a shop choose monthly or annual billing?

Yes. Early Beta/Core is $99 per organization per month or $986.04 per year, reflecting the standard 17% annual discount.

How does the 24-month price protection work?

Founding Alpha participants receive 25% off for 24 months beginning when TreadTrace graduates from beta to full launch. During the protected term, annual billing may add no more than a further 10% discount.

Is branding included?

Yes. Basic shop branding is included for everyone: your logo, business name, contact information, and customer-facing report branding where supported. TreadTrace keeps a tasteful “Powered by TreadTrace” attribution.

How many technician seats are included?

Core includes five technician seats. Each additional seat is $20 per month, or $16.60 per month when billed annually ($199.20 per seat per year). You choose how many technician seats to buy at checkout; purchased seats are billed whether or not a technician is using them. You can activate no more technicians than you have seats.

What happens after the protected period?

After 24 months, shops transition to the then-current public price with reasonable advance notice before any change takes effect.

How does the full-launch first month free work?

Standard full-launch customers receive their first month free before paid monthly or annual service begins.
